PURPOSE
To establish a list of eligible candidates that will be used to fill current and future vacancies (full and part-time, permanent and temporary) for the duration of the list, up to one year. The anticipated vacancy is 10/11 month, full-time (8 hours/day) position.

Summary
Performs a variety of office secretarial and general clerical support duties, usually following well-established policies, procedures and mandated regulations. Assignments are usually at a school site or educational program where incumbents may be required to perform receptionist, registration, attendance recording, urgent health assistance, and other school office duties.


Distinguishing Career Features
School Services Assistant I is the entry-level clerical position of a 3-tiered generalist clerical series, yet may require basic knowledge of the terminology, practices and procedures of an area of specialization depending on assignment. Work is primarily focused in these areas: skilled typing and data entry, receptionist, record maintenance, filing and retrieval of information and reports, health services, and attendance recording. Incumbents may be required to participate in registration of students. The School Services Assistant I is usually assigned to an elementary school or under guidance of a higher level Assistant in a secondary school or equivalent environment. Advancement to School Services Assistant II requires a demonstrated ability to perform the assigned duties and administer budgets for a school or department. While the Assistant II is usually assigned to a secondary school, the potential exists for advancement to this level in an elementary environment. Advancement to School Services Assistant III requires advanced specialization in the full scope of student data management, registration, student activity logistics, and counseling support. Secondary school sites are usually large enough to support full-time specialization in these areas.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Performs clerical and typing work related to the assigned office or site. Maintains confidentiality of information processed or received during the course of performing assigned duties.
  • Assists others with daily data entry of business transactions (e.g., food service inventory and deliveries, purchase orders, etc.). Enters data onto established data entry screens.
  • Answers a central telephone and serves as receptionist to personnel and the public. Answers inquiries, makes appointments and provides information concerning standards, procedures and programs. Relays messages to students and teachers.
  • Establishes and maintains files. Assembles, collates and prepares materials for distribution. Performs work such as posting records, making arithmetical computations and securing information from clearly indicative sources.
  • Duplicates and distributes routine documents. Arranges for delivery and pick up of a variety of forms and materials from staff, students, parents or the district office.
  • Assists with preparing documents by typing (keyboarding) from established standardized formats, such as independent study contracts for use by teachers, discipline letters, and routine communications. May design and create award certificates.
  • Compiles student and administrative information onto established formats and maintains a variety of records and reports.
  • May be required to cover the Nurse's office and perform first-aid and other custodial health care duties in the absence of the nurse or other health care worker.
  • Performs urgent, routine first aid for students. Documents incidents and informs the Nurse of actions taken. Receives and assists ill or sick students and contacts parents as necessary for students to be taken home.
  • Assists others with attendance recording and follow-through calling. Compiles data for attendance reports.
  • Assists with organization, data gathering, or communications in connection with special projects or events. May arrange for transportation or other logistics.
  • Answers questions and provides information and assistance to students, teachers, parents and others regarding assigned office or functions.
  • Orders, receives, shelves and distributes supplies and materials.
  • Performs other duties as assigned that support the overall objective of the position.
MINIMUM QUALIFICATIONS
  • Education and Experience
A high school diploma or equivalent AND one year of general clerical, data entry, or administrative support experience, preferably in an educational environment.
OR
An associate degree with coursework in business administration, communications, behavioral science, or a related field

  • Licenses and Certificates
May require a valid California driver's license.
Requires valid first aid and CPR certification.
Employees must fulfill first aid and CPR requirements within six months of employment in a regular position.

SUPPLEMENTAL INFORMATION

  • Knowledge and Skills
The position requires: Basic knowledge of modern office practices, procedures and equipment including receptionist and telephone techniques and etiquette. Knowledge and understanding of the principles and procedures of record keeping. Sufficient knowledge of and skill at accessing and using computer-aided office productivity software such as, but not limited to, word processing, spreadsheets, and data entry screens. Sufficient mathematics skill sufficient to perform columnar calculations, decimals, fractions, etc. Sufficient skill in English, grammar, spelling and punctuation to prepare routine correspondence and standardized reports. Sufficient human relation skills to greet and work cooperatively with students, parents, teachers, and the public.

  • Abilities
Requires the ability to: Perform the essential duties of the position. Learn, understand, and apply district rules, regulations and policies. Use a personal computer for data entry, word processing, and spreadsheets. Learn and use specialized computer data entry programs used in education. Operate and troubleshoot standard office machines. Setup and maintain records and prepare standardized reports. Oversee the work of student help.

  • Physical Abilities
Requires: ability to work in an office setting engaged in work of a primarily sedentary nature; ambulatory ability to retrieve files, stand at a counter for customer service transactions, and deliver materials to classrooms; visual acuity to read computer screens, printed material, and detailed alphanumeric information; sufficient hand/eye coordination and manual dexterity to use a personal computer keyboard at a basic rate (40 wpm net); speech and hearing ability to carry on conversations in person and over the phone; ability to administer first aid.

  • Working Conditions
Work is performed indoors with minimal exposure to safety hazards, yet intermittent exposure to communicable diseases, body fluids, and bloodborne pathogens.

Salary : Five step salary range that provides annual increases of approximately five percent until the fifth step is reached. New hire initial step placement (normally up to Step 3) based on qualifying education and experience as outlined in Merit System Rule 7.20.1. An employee who is promoted to a higher class shall be placed on the step of the new salary range that is at least five percent above the current rate, excluding any differential pay.

Vacation : Earned based on assigned hours. Increased vacation allowance based on years of service with the district. Confidential employees receive an additional 3 days vacation allotment, up to a maximum of 22 days. Management employees receive 22 days of vacation (based on 12-month assignment).

Sick Leave : Earned at the rate of one day (based on the number of assigned hours) per month, and is accumulative from year to year.

Holidays: Fourteen paid holidays per year (based on 12-month assignment).

Insurance and Credit Union : The District offers a competitive Health and Welfare plan for employees and dependents, based upon the number of hours worked; employees who are placed in a regular assignment of 20 hours or more per week are eligible for benefits. The Ventura Schools Federal Credit Union offers a variety of services.
