Job Summary/Basic Function
The primary responsibility of this position is to manage the operations of the campus post office effectively and efficiently, serving students and employees of the college.
Responsibilities:
1. Support the mission and vision of Concordia College and demonstrate the competencies as defined for this position.
Efficiently manage the operations of the post office (55%)
Effectively sort mail, packages, books, etc. from the mailbags in a timely manner
- Streamline and sustain the process of notifying recipients about packages
- Manage demands and needs of the post office related to the school year calendar
- Manage patterns of mail delivery with time urgency as necessary
- Communicate to and coordinate with departments and offices on specialized mail delivery
Oversee mass mailings
Effectively administer the service window (20%)
Coordinate the mail distribution/collection schedule for students
- Sell stamps and weigh packages for appropriate postage
- Provide high-quality and effective customer service to campus constituents
Ensure that general flyers and other communication have been approved
Other duties (20%)
Answer phone and email communication related to post office
- Open mailboxes for students
- Provide backup coverage to Campus Information
During the summer: provide support to the broader campus on special projects, special events or other needs as they arise
Supervises all student workers (5%)
Arrange work schedules
- Hire and train student workers
- Supervise and replenish the Stamp Fund
Minimum Qualifications
- Valid driver's license
- High School Diploma or equivalent
- 2 years of related experience in customer service, post office, and/or office administration
- Ability to read and follow written /oral instructions
- Ability to determine and follow applicable office practices and procedures including telephone etiquette and the ability to use general office equipment
- Customer service skills
- Ability to demonstrate initiative and work independently under time pressure
- Technical skills related to communication to constituents
- Ability to count and distribute monetary change
- Ability to handle multiple tasks concurrently
- Ability to appropriately manage stress
- Excellent oral and written communication skills
- Ability to work with a diverse group of people
Preferred Qualifications
- Knowledge of postal regulations guidelines
- Knowledge of Word, Excel, and Access
