Position Overview

We are seeking a highly organized and proactive Executive Assistant to support our Senior Vice President and executive leadership team at our Basking Ridge, NJ office. This individual will be a key partner to senior stakeholders, ensuring seamless day-to-day operations, managing complex calendars, coordinating travel and events, and acting as a liaison with internal and external stakeholders. The ideal candidate is detail-oriented, tech-savvy, professional, and eager to grow within a dynamic organization.

Key Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate logistics for internal and external engagements.
  • Arrange and manage detailed travel plans including flights, accommodations, and itineraries for domestic and international trips.
  • Prepare, synthesize, and organize materials for meetings, events, and presentations.
  • Act as a point of contact between executives and internal/external stakeholders; maintain a high level of professionalism in all communications.
  • Monitor and respond to emails on behalf of senior leaders, ensuring timely and appropriate follow-ups.
  • Coordinate and support office operations and cross-functional initiatives.
  • Prepare and process expense reports in compliance with company policies.
  • Collaborate with multiple departments to ensure alignment and execution of executive priorities.
  • Track and manage deadlines, action items, and priorities across multiple workstreams.
  • Support leadership team with special projects and administrative tasks as needed.

Required Qualifications

  • 3–8 years of experience supporting senior executives in a corporate environment.
  • Demonstrated experience in calendar management and travel coordination for senior leadership.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Experience working cross-functionally and interacting with senior stakeholders.
  • Strong business acumen and desire to understand executive priorities and organizational goals.
  • High proficiency in Microsoft Outlook, PowerPoint, Word, and Excel.
  • Exceptional written and verbal communication skills.
  • Highly organized, detail-oriented, and able to manage multiple priorities simultaneously.
  • Proactive problem-solver with strong time management and decision-making abilities.
  • Strong interpersonal skills and a professional demeanor.
  • Experience working in an AI start-up, digital transformation, or engineering services company.

Preferred Qualifications

  • Bachelor’s degree preferred.
  • Experience supporting global calendars across multiple time zones.
