Position HR Manager/Generalist at BPO Elks of the USA – Editorial Assistant Location: Chicago, IL – W. Diversey & N. Lakeview Ave. (Lincoln Park) (Elks Memorial & National Headquarters) Reports to: Managing Editor, Elks Magazine Responsibilities Position Purpose/Objective To provide administrative and editorial support to the Elks Magazine editorial team. Performs work that is varied, administrative, and project-oriented to ensure that all fraternal submissions, articles, and records are processed accurately and efficiently. Administrative Responsibilities Originate communications and correspondence. Assist in research and preparation of reports; prepare schedules for internal/external reporting. Provide backup to team members in their absence; attend meetings as needed. Perform complex problem resolution and discrepancy investigation. Relieve team members of routine administrative details. Identify problems and initiate solutions. Handle confidential matters requiring discretion and independent judgment. Respond to directors’ correspondence and institute follow-up. Engage daily with personnel across all organizational levels and external contributors. Projects/Activities Work on projects involving databases, conferences, or proposals. Coordinate and manage the progress of editorial projects. Participate in teams as a leader, facilitator, or contributor. General Clerical Duties Greet visitors and answer calls, directing inquiries appropriately. Distribute mail and maintain editorial databases. Schedule meetings, travel, and conferences. Operate standard office machines and manage document production. Organize and maintain files for efficiency and easy access. Perform accurate data entry and monitor office supplies. Teamwork/Training Assist in onboarding/training of new team members. Share knowledge and answer routine questions. Provide work direction to less experienced coworkers. Education & Experience High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred. Minimum of 1 year of related administrative or editorial support experience required. Knowledge of office administrative procedures and publishing workflows. Proficiency with Microsoft Word, Excel, Access, and database management. Strong written communication skills with excellent spelling, grammar, and attention to detail. Ability to handle sensitive information with tact, diplomacy, and discretion. Analytical ability to investigate issues and recommend solutions. Strong organizational, multitasking, and prioritization skills. Independent judgment and decision-making ability with minimal supervision. Other Position Requirements Ability to work overtime or weekends on occasion. Flexibility to adapt to changing priorities. Maintain productivity during slower work periods through proactive tasks.
