Automotive Collision Repair Office Manager

A busy, well-established collision repair facility is seeking an experienced Office Manager to join our team. This role is critical to daily operations and requires a professional who is organized, customer-focused, and comfortable handling multiple priorities in a fast-paced environment.

Key Responsibilities Include:

  • Serve as a primary point of contact for customers, managing a high volume of incoming calls with professionalism and efficiency

  • Assist with customer relations, open repair orders (ROs), and general front office operations

  • Schedule vehicle estimates and coordinate vehicle drop-offs, including rental car guidance

  • Provide front office coverage as needed during scheduled breaks or PTO

  • Manage and prioritize Accounts Receivable, including maintaining current A/R schedules

  • Create purchase orders and reconcile multiple vendor statements

  • Ensure financial accuracy and assist with office-related financial tasks

  • Be present from open to close on the final business day of each month to support month-end financial needs

  • Scan and digitally store completed repair files into the management system to support a paperless environment

  • Assist ownership and management with administrative duties such as certified mail, team member benefits coordination, and other assigned tasks

Qualifications:

  • Previous office management experience, preferably in an automotive or collision repair environment

  • Strong organizational and multitasking skills

  • Excellent communication and customer service abilities

  • Proficiency with office systems and digital document management

  • Dependable, detail-oriented, and comfortable handling confidential information
